Privacy Policy

The short version
- Attendees never create an account, and we don't ask for their names.
- We don't collect health information, and we ask organizers not to enter any.
- We don't sell personal information, and we don't use advertising or analytics trackers.
- Payments are handled by Stripe. We never see or store card numbers.
This policy explains what TableGuide ("we," "us") collects when you use our website, question app, and related services (the "Service"), why we collect it, and who we share it with. The Service is meant for use in the United States.
1. Who uses TableGuide
- Organizers: the person who creates an account for a church, ministry, or community group, builds events, and approves questions.
- Facilitators: volunteers who join an event from a link to show the questions at a table. They don't create accounts.
- Attendees: people at the tables. They don't sign up or use accounts.
- Sponsors: organizations that pay for a group's program.
2. What we collect
Organizers
- Your email address and password. Passwords are stored in a scrambled (hashed) form by our sign-in provider; we can't read them.
- Your organization's name, which is shown as "Hosted by" on your events.
- What you enter to plan events: event names and dates, a description of your audience, topics, tone, things to avoid, time windows, take-home card prompts, and the questions themselves.
- Records of your plan, purchases, and how many question sets our writer has drafted for you.
Facilitators
- The name you type when you join an event, and the time you joined. Your organizer sees this name so they can manage seats.
- A random code saved on your phone that lets you back into the event. We keep only a scrambled (hashed) copy of it.
- Which question your phone is on and when it last changed, so people at your table can follow along. Your table's follow-along code shows them your name as entered, the event's questions, and your current question.
Attendees
- When someone opens an event's take-home page, we record that event's code and the time. We don't record names, contact details, or anything else about the person. These counts make up the organizer's reach report.
- If you follow along with your table on your own phone, your phone only asks us which question the table is on. We don't record anything about you.
- If you fill in a take-home card (for example, a commitment card), it is saved only on your own phone. It is not sent to us. "Send it to myself" uses your phone's own sharing feature.
- If you go on to host your own group from a take-home page, your new account is linked to the event that inspired it, so the original group's reach report can count it.
Buyers and sponsors
- Stripe processes payments and gives us the buyer's email address, name, the amount paid, and the plan. We never receive full card numbers.
- Sponsors give us the sponsor name to display and, optionally, a website and a choice about being listed on our public sponsors page.
Sponsorship letters
The sponsorship letter writer keeps what you type on your own device so you don't have to retype it. It doesn't send anything to us; the letter goes out only when you send it from your own email.
Technical information
Like any website, our hosting and service providers receive basic technical information such as IP addresses and browser type when pages load, and may keep it in short-term logs for security and reliability. We don't use advertising cookies or analytics trackers. Your browser's local storage keeps you signed in and remembers facilitator access, previews, and drafts on that device.
3. Please don't enter health information
TableGuide is a discussion tool. It is not designed to store health records, and we are not a health care provider. Organizers should not enter any person's health information, names of attendees, or other sensitive personal details into event descriptions or questions.
4. How we use information
- To provide the Service: accounts, events, questions, facilitator access, take-home pages, and reach reports.
- To draft questions with our AI writer when an organizer asks for it (see section 5).
- To process payments, apply plans and sponsorships, and track referrals for the partner program.
- To display "Hosted by" and "Sponsored by" names, and our public sponsors list.
- To keep the Service secure, enforce fair-use limits, and prevent abuse.
- To send account emails such as receipts, sign-in, and password resets.
We don't sell or rent personal information, and we don't share it for others' advertising.
5. Who we share information with
We use a small number of service providers to run TableGuide. They process information only to provide their services to us:
- Supabase: database, sign-in, and server functions.
- Cloudflare: website hosting and delivery.
- Stripe: payments. Stripe's own privacy policy covers what you give it at checkout.
- Anthropic: when an organizer asks our writer to draft questions, the event details they entered (audience, topics, tone, things to avoid, and time window) are sent to Anthropic's Claude AI to write the draft. Under Anthropic's commercial terms, this data is not used to train its models.
- An email delivery provider: for account emails.
- Public code libraries (jsDelivr, cdnjs): some pages load standard code from these networks, which receive basic technical information when they do.
What others can see:
- Facilitators and attendees see the approved questions, the organization's name, and the sponsor's name.
- Organizers see their facilitators' names and their reach totals.
- Sponsors don't get access to a group's account or data. A group may choose to share its reach totals with its sponsor, for example in a renewal letter.
- The public can see sponsor names and websites on our sponsors list, but only for sponsors who chose to be listed.
We may also disclose information if required by law, to protect the rights and safety of people or of TableGuide, or as part of a merger, sale, or transfer of the Service, in which case this policy continues to apply to it.
6. How long we keep information
We keep account and event information while your account is open, so you can reuse past events. Purchase records are kept as long as needed for tax and accounting. Reach counts are kept as totals tied to event codes. If you ask us to delete your account, we delete or anonymize your account information within a reasonable time, except what we must keep for legal or accounting reasons.
7. Your choices
- Organizers can view and edit their organization name, events, and questions in the dashboard at any time, and can remove facilitators.
- To get a copy of your information, correct it, or delete your account, email us at the address below from your account email.
- Facilitators can ask their organizer to remove them, or contact us.
- Sponsors can ask to be removed from the public sponsors list at any time.
Depending on where you live, you may have additional rights under state privacy laws. We will honor requests as the law requires.
8. Security
We use encrypted connections, database access rules that limit each account to its own data, scrambled storage of passwords and facilitator codes, and payment handling by Stripe. No service can promise perfect security, but we work to protect your information and will notify you as the law requires if a breach affects it.
9. Children
Accounts are for adults acting for their organizations. The Service is not directed to children under 13, and we don't knowingly collect personal information from them. Attendees don't provide personal information to use take-home pages.
10. Changes
If we change this policy, we'll update the date at the top. For significant changes, we'll give notice on the website or by email to organizers.
